Material, packaging and postage per product. The costs apply to every matching order, and this is where loss-makers show up.

The receipt Etsy never shows you
A £25 sale with £3.50 postage, from a UK seller who isn’t VAT-registered.
Before you buy materials or pay for postage.
Charged on the item price and on the postage you charge. Postage is the part sellers forget.
Etsy Payments takes this on the full order total. The fixed 20p hits small orders hardest.
$0.20 per listing, again every four months, and again each time the item sells.
A UK-only levy on item price plus postage. It went up on 22 June 2026 and many calculators still use the old rate.
Not VAT-registered? Etsy adds 20% VAT to every fee above. This is the line most calculators skip.
Only when one of Etsy’s off-site ads brings the buyer. 15% below roughly £8,000 a year in sales, 12% above.

The numbers Etsy doesn’t show you
Your real margin
Gross, fees with VAT, your costs and what’s left, for every order and every month. One honest number for the year.
Loss-makers, by name
Add your costs and any product that loses money on each sale gets named, with the price rise that would fix it. Often it’s an old bestseller priced before materials went up.
Nothing leaves this page
No upload, no account, no API access to your shop. Other tools connect to your whole shop to work. This reads one file, in your browser.
Three steps
Export your orders
In Etsy: Shop Manager, Settings, Options, Download Data. Choose Order Items and pick a year.
Drop the file in
The dashboard appears in a second or two. Revenue, fees, profit, margin, best month.
Add your costs
Material, packaging and postage per product. Margins update, loss-makers get named, and the whole thing exports to Excel.
ProfitHatch Pro
- ✓Save your costs once. Every future upload prices itself.
- ✓History. Margins tracked across the year, not one CSV at a time.
- ✓Refund reconciliation. Your Payments CSV matched order by order.
- ✓Loss-maker alerts. Know when a product drops below break-even.
No payment now. One email when Pro opens, nothing else.
Before you ask
Is my sales data uploaded anywhere?
No. Your CSV is read and analysed inside your browser. Nothing is uploaded, stored, or sent to any server. You can load the page, go offline, and it still works. Most other Etsy tools ask you to connect your shop through Etsy’s API; ProfitHatch never sees your shop at all.
Why is it free?
Because your browser does the work, the free tool costs almost nothing to run. There are no servers crunching your data and no data to sell — we never receive any. Pro, when it opens, is how the site pays for itself.
Which Etsy CSV do I need?
The “Order Items” export. In Etsy: Shop Manager → Settings → Options → Download Data → Orders → “Order Items”. Pick a year, download, and drop the file in here.
Does it handle UK VAT on Etsy fees?
Yes. UK sellers who aren’t VAT-registered pay 20% VAT on top of every Etsy fee, plus the 0.48% UK regulatory operating fee. Many calculators ignore both and overstate your profit. ProfitHatch includes them by default, with a toggle if you are VAT-registered.
How accurate are the fee estimates?
Fees are estimated from Etsy’s published rates: 6.5% transaction fee, 4% + £0.20 payment processing, £0.16 listing fee ($0.20), 0.48% UK regulatory operating fee, and 20% VAT on all of them. Expect them to be within pennies on typical orders. For exact figures, reconcile against your Etsy Payments statement.
I’m not in the UK. Can I still use it?
Yes. The maths works for any Etsy shop and the tool detects your CSV’s date format and currency. The default rates are tuned for UK sellers, so sellers elsewhere should treat the fee figures as slightly conservative.
What about refunds and cancelled orders?
Etsy’s Order Items export doesn’t include refunds, so the free tool tells you that instead of silently ignoring it. Matching every refund back to its order from your Payments CSV is coming in ProfitHatch Pro.
Etsy changes its fees. We track them.
The regulatory fee rose in June 2026 and most calculators never noticed. Leave an email and we’ll tell you when the next change lands, and what it costs you.
